WhatsApp automation for smarter business conversations
Automate the repetitive first steps — greeting, qualifying, routing, reminding — and keep people for the conversations that need judgment. Here is how it works, what Meta's rules mean in practice, and what PingSetu can automate today.
The basics
What WhatsApp automation means
WhatsApp automation is software that sends, routes or acts on WhatsApp messages without a person doing each step by hand. In practice it is a set of rules: when something happens (a message arrives, a deal changes stage, an order is placed), check some conditions, then do something (reply, ask a question, assign, update the CRM).
Good automation is narrow. It handles the predictable parts of a conversation quickly and consistently, and gets out of the way when the customer needs a person.

Use cases
Where automation helps most
Answering the first message
Greet, ask what the customer needs and route them — instead of a queue of unread chats each morning.
Qualifying leads
Collect budget, location or course interest with buttons, lists or a WhatsApp Flow form, and store the answers on the contact.
Order and booking updates
Send confirmations and status changes when an order, payment or booking event arrives from a connected system.
Recovering abandoned checkouts
Trigger a reminder template when a Shopify or WooCommerce checkout is abandoned — to customers who have opted in.
Follow-up reminders
Remind the owner when a task is overdue, or message the customer after a set delay with an approved template.
Feedback after resolution
Send a CSAT question when a conversation is closed and keep the answer on the contact record.
The rule that shapes everything
Template messages versus conversational replies
WhatsApp separates messages into two kinds. When a customer messages you, a 24-hour customer service window opens. Inside it, your automation can reply freely — text, media, buttons, lists, WhatsApp Flows.
Outside that window, the only thing you can send is a message template that Meta has approved. Templates fall into three categories — marketing, utility and authentication — and the category affects both review and price. A utility template must be non-promotional and tied to something the customer did or asked for, such as an order confirmation.
This is why a follow-up flow that waits two days must switch from a free-form message to a template. PingSetu’s flow builder lets you use either, but it cannot make Meta accept a free-form message after the window has closed.
Quick reference
- Customer messaged in the last 24h? Free-form replies, media and interactive messages are allowed and are not charged.
- Window closed, or you are starting? Use an approved template. Delivered templates are charged per message by category and country.
- Utility template inside an open window? Not charged under Meta’s per-message pricing.

Qualification and follow-up
A qualification flow that hands over cleanly
A typical lead-qualification flow in PingSetu looks like this:
- 1
Trigger: first message from a new contact
For example, from a click-to-WhatsApp ad or a website chat button.
- 2
Ask what they need
Interactive buttons or a list keep answers structured — no free-text parsing needed.
- 3
Collect details
A WhatsApp Flow form or two short questions; answers are written to contact attributes.
- 4
Branch on the answers
Conditions route high-intent enquiries to sales and others to a nurture list.
- 5
Create the lead and assign it
The flow creates a lead and assigns the conversation to a person or team queue.
Human handoff
Deciding where automation stops
Most frustrating chatbot experiences come from a missing exit. Before you switch on any automation, write down when a person should take over. These four rules cover most cases:
- 1
Define when the bot stops
An explicit request for a person, a complaint, a high-value lead, or a question the agent cannot answer from your content.
- 2
Assign, do not just notify
Hand off by assigning the conversation to a person or team queue so it shows up in someone's inbox.
- 3
Keep the history visible
The person picking up sees the full thread and any attributes the flow collected, so the customer is not asked again.
- 4
Make it obvious to the customer
Tell them a person is taking over, and roughly when, rather than leaving the chat silent.
Policy
WhatsApp policy considerations
- Opt-in first. Meta requires you to get a customer’s opt-in before sending them template messages. Keep a record of how and when it was collected.
- Quality affects reach. Templates are rated on customer feedback and engagement. Low-quality templates can be paused, and poor quality can slow increases in your messaging limit.
- Categorise honestly. If a template submitted as utility is really marketing, Meta can recategorise it, and repeated misuse can restrict your account.
- Messaging limits apply to how many unique customers you can reach outside the service window in a rolling 24 hours, shared across the numbers in your business portfolio.

What is supported
What PingSetu can automate today
Visual flow builderAvailable
Drag triggers, conditions and actions onto a canvas, with versions you can roll back to.
TriggersAvailable
Incoming message, first message from a new contact, conversation assigned or closed, label added or removed, contact field updated, lead/deal/task events, deal stage changes, incoming webhooks and ecommerce events (orders, abandoned checkouts).
ActionsAvailable
Send messages and templates, wait, branch on conditions, assign an agent, set attributes, add labels, create or move leads and deals, create tasks, add to a list or campaign, call an external REST API.
WhatsApp FlowsAvailable
Build and publish native in-chat forms for structured input such as bookings or lead details.
AI agent repliesAvailable
An AI agent answers from your uploaded documents or website content and can hand the conversation to a human.
Keyword and scheduled (time-of-day) triggersLimited
Keyword routing is done with conditions on message content inside a flow rather than a dedicated keyword trigger. Ask us about time-based scheduling for your use case.
Getting started
Practical implementation guidance
- Start with one flow that answers the first message and routes it. Run it for a week and read the conversations it touched.
- Write templates before you need them. Template review can take up to 24 hours, and rejected templates need editing and resubmitting.
- Keep questions few and structured. Buttons and lists produce cleaner data than open text.
- Add AI last, once you know which questions customers actually ask, and give the agent content that answers them.
- Review regularly. Each automation run is inspectable, so check which paths contacts take and where they drop off.
